Pro Dental Clinic is a registered provider of dental services, responsible for ensuring patient care is centred on your needs, as monitored by the Care Quality Commission (CQC).
1.1 Consultation fees
The standard consultation fee is £120. Your initial consultation for cosmetic, implant, orthodontic, and smile makeover treatments is £50. Should further consultations or reviews be required, the standard fee of £120 applies.
1.2 Third party requests
Should you require consultation notes for any third-party needs or actions, these will be provided free of charge. The standard consultation fee of £120 will not apply in these circumstances.
1.3 Emergency appointments
Emergency appointments are chargeable at £180 for all patients — new and existing. Any treatment carried out at or after this appointment will be charged at your dentist’s standard price list fee.
2. Deposits & Booking Fees
2.1 Deposit requirement
Due to the length of appointments, we require a deposit of a minimum of 50% of your treatment cost (in some cases more). This deposit may be charged in cases of short notice cancellation or failure to attend. If not used as a charge, it will be applied towards your final balance.
2.2 New patient booking fee
A £50 fee is required for all new patient consultation bookings. This can be offset against your treatment cost should you decide to proceed with Pro Dental. Failure to attend your appointment will result in the fee being charged.
2.3 7-day change of mind
If you have paid your treatment deposit and change your mind within 7 days of taking up treatment, 50% of your deposit will be refunded.
2.4 Cancellation after 7 days
If you have paid a deposit and cancel your first appointment more than 7 days after the deposit payment, Pro Dental will retain the full deposit. This does not apply where a genuine medical reason prevents you from proceeding (evidence will be requested).
2.5 Treatment cannot proceed
The cancellation fee will not apply if the planned treatment cannot proceed for dental reasons and there is no acceptable alternative.
2.6 Late cancellation — deposit forfeiture
If you change your mind less than 7 days from taking up treatment and paying your deposit, and your first appointment is within 7 days, Pro Dental will retain the full deposit.
2.7 Price hold
When agreed between Pro Dental Clinics and the patient, the deposit can be held to secure pricing on a treatment plan for up to 1 month. If you wish to proceed after this period, a new deposit will be required (and you may need a new consultation).
2.8 Treatment on hold
If a plan is placed on hold (for up to 6 months from the date of deposit) and the patient subsequently decides to cancel at any stage within this period, Pro Dental will retain the deposit in full.
3. Prosthetic & Other Dental Treatments
Crowns, Bridges & Veneers
Although rare, additional appointments may be needed for minor refinements such as re-fixing, re-cementation, initial bonding failure, or minor polishing. Pro Dental will not cover travel expenses, accommodation, or absence from work. Should the problem persist after the initial refinement appointment and proves not to be a clinician issue, a small chair time cost may apply.
Prosthetic components (crowns, bridges, dentures, and hybrid prostheses) may need replacement over time. Cement retaining crowns and bridges may wash out and require re-cementation. This is a normal planned maintenance requirement and not covered by guarantee.
3.1 Dentures
Dentures will wear over time and require replacement. Dentures may also need refining for best fit. The first refinement appointment is free of charge. Pro Dental will not cover travel expenses, accommodation, or absence from work. Should the problem persist and prove not to be a clinician issue, a small chair time cost may apply.
3.2 Implant-retained dentures
The retentive components attaching dentures to implants will need changing approximately every year. This is a normal maintenance requirement and not covered by guarantee.
Temporary, provisional, and immediate acrylic dentures and temporary crowns and bridgework are not subject to any guarantee.
3.3 Unforeseen circumstances
Given the variable nature of the human body, unforeseen circumstances may occur beyond the clinician’s control — such as root canal treatment following teeth preparation. These may incur extra costs. There may also be unplanned events requiring additional appointments, repeat procedures, or extra stages. Pro Dental and the clinical team will always act in the patient’s best interests.
3.4 Patient sign-off
The patient is responsible for checking and confirming they are happy with the final prosthetic. Once permanently cemented, any changes requested by the patient will be charged at the standard treatment fee.
4. Dental Implants
Pro Dental Clinic uses the latest technology and materials to ensure patients receive high quality implants placed by experienced, qualified dentists.
4.1 Clinician discretion
It is at the treating dentist’s discretion to refuse an insurance case if they feel the patient has not complied with the factors listed in section 7. Any cover is limited to replacement of the dental implant(s) only and excludes additional costs (e.g. additional bone grafts, medication, travel, or absence from work).
4.2 No refund of fees
There will be no refund of fees. Where it is not possible to replace an implant, an alternative treatment plan will be provided at the same cost level; however, extra charges may apply.
4.3 Biological variation
Given the variable nature of the human body, the following biological failures do not form part of any guarantee: second-time lack of integration after implant replacement; bone loss or gum recession after implant placement; future illnesses, diseases, or conditions causing bone loss and implant failure.
4.4 Patient responsibility — follow-up
It is the patient’s responsibility to book all follow-up appointments, maintenance examinations, and hygiene appointments required.
Regular check-up appointments are essential to the healthy maintenance of implants. Failure to attend such appointments will invalidate any insurance cover you may have.
4.5 Post-treatment charges
All appointments regarding completed implant treatment will be chargeable.
5. Temporary Dentures & Crowns
Temporary restorations are placed for aesthetic purposes only. Due to changing gum conditions throughout treatment, it is impossible for Pro Dental to guarantee a perfect fit. Patient cooperation and understanding is needed when adapting to wearing and eating.
6. Treatment Timescales
Agreed timescales for treatment must be adhered to, especially where temporary prosthetics are prescribed. The prolonged use of temporary solutions (dentures, crowns, bridges, veneers) can result in the destruction of supporting structures due to improper loading on natural teeth.
7. When Insurance or Guarantees Are Invalidated
Insurance cover will be reduced or invalidated in the following circumstances:
8. Orthodontics
8.1 3-month follow-up
All patients are requested to attend a 3-month follow-up after brace removal. It is the patient’s responsibility to book this at reception at the removal appointment.
8.2 Post-treatment movement
Pro Dental is not liable for tooth movement after brace removal. Patients are advised to follow aftercare as discussed with their dentist. Failure to comply with aftercare can compromise long-lasting results and cause teeth to move.
8.3 Retainers
Removable Essix and fixed retainers are not guaranteed post-fitting.
8.4 Breakages
Any breakages or loss of appliances will result in a repair or replacement cost, as listed on the Pro Dental price list.
9. Cancellations, Appointments & Rescheduling
Standard appointments (under 1 hour)
9.1 Notice required
If you need to cancel or change a consultation or any appointment under 1 hour, please give us as much notice as possible. We require a minimum of 48 hours. Cancellations without 48 hours’ notice may, at the practice’s discretion, incur a cancellation fee of £50 per 30 minutes of booked time.
Longer appointments (1 hour or more)
9.2 Notice required
If you need to cancel or change a treatment appointment of 1 hour or more, we require a minimum of 7 days’ notice. Cancellations with less than 7 days’ notice will incur a cancellation fee of a minimum of 50% of your total treatment cost.
9.3 Repeated cancellations
If two consecutive appointments are cancelled without the required notice (48 hours or 7 days), or you fail to attend without good reason, no further appointments will be offered without a holding deposit of a minimum of 50% of your treatment cost.
9.4 Lateness
We are unable to see you if you arrive more than 10 minutes late. Your appointment will be rescheduled and the late cancellation fee will apply as per clauses 9.1–9.3.
10. Payment Options & Finance ● UPDATED
We want treatment to be straightforward and affordable. The following payment options are available:
Option A — Patient Finance
We offer patient finance through our FCA-regulated finance provider. Finance is subject to status and eligibility. Pro Dental Clinic acts as a credit broker, not a lender.
Rates available: 0% APR and 9.9% APR representative
Term lengths: 12 to 60 months
Credit check: Soft check only — no impact on your credit score
Early repayment: No fee for early repayment
Manage your loan: Free app, 7 days a week support
Option B — In-Clinic Payment Plan
Pay progressively as your treatment proceeds. Your Treatment Coordinator will agree a payment schedule with you before treatment begins.
Option C — Full Payment (with Discount)
Pay in full before treatment begins and receive a 5% discount on treatments over £2,000. This discount cannot be applied retrospectively.
14-Day Finance Cooling-Off Period
10.1 Right to cancel finance
Under the Consumer Credit Act 1974 and Consumer Contracts Regulations 2013, you have the right to cancel your finance agreement within 14 days of signing, without giving any reason. If you cancel within this period, you must repay any treatment already received via an alternative payment method within 30 days.
After the 14-day cooling-off period, your finance agreement cannot be cancelled. You remain liable for all repayments regardless of any change to your treatment plan. Pro Dental Clinic does not cancel or amend finance agreements on your behalf after this period.
10.2 Finance cancellation fee
If you wish to cancel your finance after the cooling-off period, a cancellation fee of up to 15% of the total finance amount will be charged.
11. No Cash Refunds Policy ● UPDATED
Pro Dental Clinics does not issue cash refunds on dental treatment after the 7-day change of mind window (clause 2.3). Our commitment to every patient is to provide excellent treatment and, where treatment does not meet the expected clinical standard, to correct it at no charge through retreatment.
WE DO NOT ISSUE CASH REFUNDS PART-WAY THROUGH IMPLANT, COSMETIC OR ORTHODONTIC TREATMENT. ALL TREATMENT DEPOSITS ARE NON-REFUNDABLE UNLESS YOU ARE DEEMED MEDICALLY UNSUITABLE (proof required).
An administration fee of £250 applies to all cancellations. All costs incurred by the practice (including finance fees) will be deducted. For implant, cosmetic, and orthodontic courses of treatment, the cancellation fee shall not be less than 25% of the total agreed treatment price.
Where Pro Dental has offered a reduction on a larger treatment plan and you cancel within 7 days, Pro Dental reserves the right to charge the full listed price for any treatment already carried out. Please refer to prodentalclinic.london or your Treatment Coordinator for the current price list.
12. Substandard Treatment — Your Right to Retreatment ● NEW
Pro Dental Clinics is committed to the highest clinical standards. If you feel your treatment has not met the expected standard, please contact us as soon as possible so we can put it right.
12.1 Retreatment entitlement
Where Pro Dental Clinics accepts, following clinical review, that treatment was not carried out to a reasonable standard, we will arrange for the treatment to be repeated or corrected at no additional charge. No cash refund will be issued in place of retreatment.
12.2 Clinical review process
To request a clinical review, notify Pro Dental Clinics in writing within a reasonable period of completing treatment. A senior clinician will respond within 14 working days. Where appropriate, an independent clinical assessment may be sought.
12.3 Scope of retreatment
Retreatment covers correction of the original treatment only. It does not cover: travel expenses, accommodation, or loss of earnings; treatment carried out by another provider without prior written agreement; complications from patient non-compliance with aftercare instructions; natural biological variation or outcomes beyond the clinician’s reasonable control (see sections 3, 4, 6 and 7).
12.4 Finance and retreatment
Where treatment has been financed, retreatment does not affect your finance agreement obligations. Your repayments continue as agreed. Pro Dental Clinics covers the clinical cost of retreatment directly.
12.5 Complaints escalation
If you are not satisfied with the outcome of a clinical review, you may raise a formal complaint under section 15. You may also contact the General Dental Council (GDC) or the Dental Complaints Service at dentalcomplaints.org.uk.
13. Inactive Patient Credit Balances
Effective from 1 June 2026. Applies to all existing and future patient credit balances at both Pro Dental Clinic sites.
13.1 What is a credit balance?
A patient credit balance arises where payment has been received in advance of treatment and has not been applied to completed treatment. A credit balance is not a right to a cash refund — it is a credit towards future treatment only.
13.2 No cash refund on credit balance
No cash refund will be issued in respect of any credit balance after the 7-day change of mind window (clause 2.3). The credit balance may only be used towards future treatment at Pro Dental Clinics.
13.3 When is a credit balance inactive?
A credit balance is deemed inactive where all of the following apply: no appointment has been attended at either Pro Dental site; no treatment has been carried out; no contact has been received from the patient; and 12 consecutive months have passed from the date of last payment or last treatment, whichever is later.
13.4 Notification procedure
Where a credit balance becomes inactive, Pro Dental Clinics will make reasonable attempts to contact the patient by letter, email, and telephone. The patient will have 30 days from the date of the first contact attempt to respond and book an appointment to use their credit.
13.5 Forfeiture
Where Pro Dental Clinics has followed the notification procedure in clause 13.4 and the patient has not responded within 30 days, or cannot be contacted using the details on file, the credit balance will be forfeited and Pro Dental Clinics will retain those funds in full. No cash refund will be issued upon forfeiture.
13.6 Patient responsibility
It is the patient’s responsibility to keep contact details up to date. Pro Dental Clinics cannot be held responsible for failure to make contact where details on file are incorrect or out of date.
13.7 Finance agreements
This section applies only to credits held directly by Pro Dental Clinics. Third-party finance agreements (including Vendigo and Tabeo) are governed separately by the finance provider’s own terms and are not affected by this clause.
13.8 Existing credit balances
Patients with an existing credit balance as at 1 June 2026 will be contacted individually. Their 30-day response window begins from the date of that notification.
14. GDC Standards & Clinical Responsibility
The GDC-registered dentist you are seen by is solely responsible for any advice given and the treatment carried out. Any contractual agreements for treatment are between the patient and the treating dentist, and not with Pro Dental Clinic as an entity.
The GDC publication Principles of Dental Team Working, clause 3.1, states: ‘All members of the dental team who have to register with the GDC are individually responsible and accountable for their own actions and for the treatment or processes which they carry out.’
